Terms and Conditions for The Lodge at Flat Rock
Effective Date: January 1, 2016
These Terms and Conditions ("Agreement") govern the use of the facilities, services, and accommodations provided by The Lodge at Flat Rock ("the Hotel," "we," "our," or "us") to its guests ("you" or "your"). By booking or staying at the Hotel, you agree to these terms and conditions.
1. Reservations
1.1 Booking: Reservations can be made through our website, by phone, or through a third-party booking platform. A valid credit card is required to secure a reservation.
1.2 Confirmation: You will receive a booking confirmation email detailing your reservation. If you do not receive a confirmation, please contact the Hotel immediately to ensure your reservation is secured.
1.3 Check-in and Check-out:
- Check-in time: 3:00 PM.
- Check-out time: 11:00 AM.
Early check-in or late check-out may be available upon request and subject to availability, which will be unknown until the day of.
2. Rates and Payment
2.1 Room Rates: Room rates are subject to availability and may change depending on the time of booking, seasonality, and other factors. Rates are quoted in US dollars.
2.2 Taxes and Fees: All rates are exclusive of applicable taxes and additional fees, which will be added to your final bill.
2.3 Payment: A valid credit card is required for payment at the time of booking. We accept major credit cards and other forms of payment as indicated during the booking process.
2.4 Deposit: For certain rates or special offers, a deposit may be required. This deposit will be specified at the time of booking.
3. Cancellations and Modifications
3.1 Cancellation Policy:
- Standard bookings: Cancellations made 1 day prior to arrival will incur no charge. Cancellations made within less than 24 hours of arrival will be subject to a charge of one night’s stay.
- Non-refundable bookings: If you cancel a non-refundable booking, no refund will be provided.
- Special offers or packages: Cancellation terms for special offers or packages may vary and will be outlined at the time of booking.
3.2 Modifications: Changes to reservations (e.g., changing dates or room type) are subject to availability and may incur additional charges.
3.3 No Show: Failure to check in on the scheduled arrival date without prior notice will result in a charge for the full booking amount and the reservation will be canceled.
4. Guest Conduct
4.1 Behavior: Guests are expected to behave in a manner that is respectful to other guests and staff. The Hotel reserves the right to refuse service, evict guests, or charge for damages if behavior is disruptive, illegal, or threatens the safety and comfort of other guests and staff.
4.2 Noise: Please be mindful of noise levels.
4.3 Pets: Pets are only allowed in certain designated areas or rooms. A pet fee of $25 per night (no more than $100 per stay) plus tax will apply. One pet is allowed per room, and must be no more than 45 lbs. 4.4 Smoking: All rooms are non-smoking. Evidence and/or damage from smoking will incur a $250 fee.
5. Damage and Property Loss
5.1 Guest Responsibility: Guests are responsible for any damage to Hotel property caused during their stay. If damage occurs, the guest will be charged the cost of repairs or replacement.
5.2 Personal Belongings: The Hotel is not responsible for lost or stolen items. Guests are encouraged to use the front desk for storing valuables.
6. Hotel Amenities
6.1 Facilities and Services: The Hotel provides a variety of amenities and services, such as free Wi-Fi, business center, fitness center, and pool. Some amenities may have specific operating hours.
6.2 Availability: The Hotel reserves the right to alter or discontinue amenities or services at its discretion, including but not limited to changes in operating hours or maintenance closures.
7. Liability
7.1 Hotel Liability: The Hotel is not responsible for injuries, accidents, or illnesses that occur on Hotel premises. Guests assume responsibility for their own safety and well-being during their stay.
7.2 Force Majeure: The Hotel will not be held responsible for any failure to perform its obligations if such failure is caused by events beyond the Hotel’s control (e.g., natural disasters, strikes, government actions, pandemics).
8. Privacy and Data Protection
8.1 Data Collection: By making a reservation or staying at the Hotel, you consent to the collection and processing of your personal information as described in our Privacy Policy.
8.2 Third-party Services: The Hotel may share your data with third-party service providers for purposes such as payment processing and marketing, in accordance with our Privacy Policy.
9. Governing Law and Dispute Resolution
9.1 Applicable Law: These Terms and Conditions are governed by the laws of North Carolina and the United States.
9.2 Dispute Resolution: Any dispute arising from these Terms and Conditions shall be resolved through mediation, as determined by the Hotel.
10. Modifications to Terms and Conditions
The Lodge at Flat Rock reserves the right to amend or modify these Terms and Conditions at any time. Changes will be posted on our website with an updated effective date.

The hotel is owned and operated by Mountain Lodge, LLC. and we are not responsible for any undesirable occurance and will not be held liable for theft, injury, or damage to property.
